Managing Travelers: How to add, edit & export

This guide walks you through how to add, edit, and export traveler data, along with some best practices.

The Travelers feature in SEE allows you to monitor your personnel across locations in real time. Whether it’s for travel risk management, crisis monitoring, or general duty of care, managing traveler profiles correctly is key to maintaining awareness and triggering relevant alerts when needed.

This guide walks you through how to add, edit, and export traveler data — manually or in bulk — along with some best practices for organizing your traveler profiles efficiently.


Why use the Travelers feature?

The Travelers module in SEE is designed to enhance the security and visibility of your individuals, providing real-time information and streamlined management of traveler data. Here’s why it’s essential:

  • Travel Risk Management – Monitor your employees on the move, anticipate potential threats, and ensure swift responses during high-risk journeys.

  • Crisis Monitoring – Find and serve travelers in crisis efficiently, reducing response times and optimizing crisis results.

  • Duty of Care – Meet your organization’s responsibility for employee safety, providing the support and oversight necessary for effective risk management.

✍️ Importing Travelers and Trips

You can add travelers in two ways:

Manually

To add a traveler manually:

  1. Click on + Add Traveler

  2. Fill in key details like name, description, email, phone number, external ID, origin country, and tags.

  3. You can also use Add Field to include additional information such as business unit, manager, or travel purpose, depending on your needs.

💡 User Tip:

Tags are useful to group travelers by region, department, or assignment. They’ll also help filter or share views later.

Trips can be added manually (or imported via Excel — see below) in each traveler’s profile. You have to fill in the name of the trip, start and end dates, and coordinates.

You can also add fields with the information you need.

How to Add a Trip for Your Travelers

  1. Open Traveler

  2. Add Trip
    Click the ➕ Add Trip button.

  3. Fill the Trip Form

  • Name (optional)

  • Start & End Time

  • Start & End Location – click on the map to select

  • Trip External ID – for accurate tracking

4.Save
Click Create to save the trip.

Traveler Icon Position During a Trip

When a trip is created, the traveler icon on the map will move along the route based on the trip duration:

  • The first half of the trip duration = traveler shown near the start location

  • The second half = traveler shown near the end location

Example:

  • Trip time: 5 PM – 9 PM (4 hours total)

  • Route: From Munich to Paris

From 5 PM to 7 PM → icon appears near Munich
From 7 PM to 9 PM → icon appears near Paris

This visual cue helps you understand where the traveler likely is during the trip — beginning near the start point and gradually shifting to the end point.

Via Excel Import

  1. Click the dropdown icon next to Add Traveler and select Import.

  2. Download the template, fill it in, and re-upload it. You can always use the same Excel and just click on "Update"!


You can import just travelers, or trips as well (experimental). Trips can also be uploaded manually, one by one, in each traveler’s profile.

⚠️ Make sure emails and coordinates (if included) follow the format, and review tags before importing. If you see that the location of the traveler is wrong, review if the longitude and latitude fields are filled in the right way, or need to be reversed.


Editing Travelers

To edit a traveler:

  1. Click the three dots next to a profile and select Edit.

  2. Update any field as needed from email and phone to tags and custom fields.

  3. You can also change the status (Idle or Traveling), origin country, or external ID.

🔁 All updates are instantly reflected on the map and alert filters.

📄 Exporting Travelers

To export:

  1. Click the dropdown menu in the traveler panel and choose Export.

  2. A file with current traveler data will be generated based on the visible filter.

  3. 📁 You can filter the list first (e.g. “Traveling only”, by tag, or country) to narrow down your export.

If you want your team to see the travelers, don’t forget to share them!
