Asset Communication is a key feature that enables your organization to instantly notify personnel about important updates, travel disruptions, or emergencies—across multiple channels like email, SMS and WhatsApp.
Designed for accuracy and speed, this tool helps you reach travelers, colleagues, or key stakeholders when it matters most, minimizing delays and confusion.

How to Use Asset Communication
1. Create and Manage Templates
Templates allow you to streamline repetitive communications, saving time and ensuring consistency.
The Asset Communication Template Dashboard includes sections to view your inbox, edit and organize templates, use the search bar, and create new templates.
Steps to create a new template:

5. Add the name of the template detailed message content to be specific.
6. Write your message:
Include instructions, location, and context.
Use dynamic tags like

, or{{EventUrls}}
for automatic personalization.
7. Choose recipients in the Send To section (individuals, groups, or tags like EMEA Travelers).
8. Click Save for future use.
💡 User Tip: Use a clear title and actionable steps so recipients understand what’s needed immediately.

2. Sending Notifications
With Asset Communication, you can quickly notify the right people using two powerful workflows:

A. Targeted Notifications via Map Selection
When an incident occurs in a specific area—like a disruption in Paris—you can directly select the impacted travelers on the map:
Right-click on the impacted area and choose 'Notify Assets'.
2. Use the drawing tools (rectangle, circle, or polygon) to define the affected area.
3. All travelers within the selected zone will be added as recipients.
4. Choose an existing message template or create a new one.
5. Edit the message if needed, and click Send.
B. Notifications Triggered from Alerts
When an alert is triggered, you can send a notification directly from it:
Select the alert and choose Notify Assets.
Define the notification radius to reach nearby individuals. The default radius is based on the alert's geolocation, but you can manually expand it using the polygon, circle, or rectangle tools on the map.
Then follow the usual steps: select or create a template, customize the message, and adjust the recipients if needed.
This workflow ensures alerts can immediately trigger relevant communication—minimizing response times and improving situational awareness.
💡 Tip: You can also link templates to alerts in advance.
To do so:
Go to your Alerts list.
Choose the alert you want to configure and click the three-dot menu.
Click Edit, scroll down to the Communication Channels section, and select the template you want to attach.
This allows you to automatically trigger specific messages for specific alert types. For example, link a pre-approved template to all alerts in the Terrorism category, so a notification about a potential attack can be sent rapidly.
Note: Even if you attach a template to an alert, it won’t be sent automatically when an event triggers that alert. You’ll still need to manually click Send.
This design ensures travelers don’t receive unnecessary or unintended messages, while keeping the workflow fast and efficient when action is required.
